One inbox for the leads scattered everywhere

LeadInbox is built and operated by DeskLink AI, an AI software consultancy with offices in London and Dubai. It exists because the same problem kept turning up in every client project we took on.

The problem we kept running into

Buyers do not pick one place to talk to you. A prospect messages a WhatsApp number from an ad, replies to a LinkedIn note a week later, sends a question through Instagram, and then emails a purchase order from an address nobody recognises. Each of those lives in a different app, on a different device, often owned by a different person on the team.

The result is familiar: replies get missed because nobody had the tab open, follow-ups are forgotten because there is no shared list of who is waiting on what, and the same lead gets worked twice by two people who cannot see each other's conversations. Nothing is broken exactly — the messages arrive. They just never come together in one place where a deal can be tracked from first contact to close.

LeadInbox pulls every channel into a single inbox, attaches the conversations to a contact, and puts that contact on a pipeline you can actually look at. That is the whole idea.

DeskLink AI is an AI software consultancy headquartered in Dubai with an office in London. We build custom AI-powered systems for businesses: bespoke AI applications, full-stack web applications, workflow automation and internal tools, and AI integration into systems that already exist — document processing, routing, and the unglamorous plumbing that makes a company run faster.

The way we work is deliberately product-led rather than technology-led. The interesting question is never which model or framework to use; it is what measurably changes for the business once the thing is live. That bias is why LeadInbox keeps its AI features narrow and optional instead of sprinkling them over every screen.

LeadInbox grew directly out of that consultancy work. Client after client — agencies, brokers, clinics, trades, B2B sales teams — asked us to wire their messaging channels together, and we kept rebuilding a version of the same system. Eventually it made more sense to build it properly, once, as a product. LeadInbox is that product, and it is operated by the same team.

How LeadInbox works

Four steps, in this order. Most workspaces are sending from a unified inbox within the first sitting.

    Connect your channels

    Link WhatsApp, LinkedIn, Instagram, Messenger, Telegram, X and your email accounts — Gmail, Outlook or any IMAP mailbox. Connections are made through a hosted flow, so credentials are never typed into our app.

    Work from one inbox

    Every conversation from every channel lands in a single thread list. Reply from the same place you read, with saved templates and dynamic variables for the messages you send over and over.

    Move leads through a pipeline

    Each conversation can become a lead on a visual kanban board with stages you define. Tags, activity history and contact profiles keep the context attached to the person, not the channel.

    Add AI on your own key

    Optionally connect your own Anthropic, OpenAI or Google API key to get lead scoring, conversation insights, reply suggestions and stage suggestions. Nothing AI-related runs until you add a key.

Why the AI runs on your key, not ours

Every AI feature in LeadInbox — lead scoring, conversation insights, reply suggestions, stage suggestions — runs against an API key you supply, from the provider you choose. It is a deliberate design decision rather than a limitation, and it buys you three things:

  • Cost you control. You pay your provider directly at their rates. We do not resell tokens or mark them up, and there is no per-message AI credit to run out of mid-month.
  • A data path you chose. Conversation text is sent to the provider you picked, at the moment a feature runs, under the terms of your own account with them.
  • An off switch that really is off. No key means no AI calls. The inbox, pipeline, contacts and templates all work exactly the same without one.

Keys are stored server-side and are write-only through the interface — once saved, a key is never sent back to the browser. More detail on that is in our security overview.
