Refund & Cancellation Policy

How to cancel LeadInbox, when we refund, and what happens to your data afterwards.

1. How to cancel

Cancel yourself in the app: go to Settings → Billing and choose to cancel your subscription. It takes effect immediately as an instruction, and your plan stops renewing.

There are no cancellation fees and no notice period. If you cannot access the app, email contact@desklink.ai from the address on the account and we will cancel it for you.

2. What happens after you cancel

You keep full access until the end of the billing period you have already paid for. Cancel on day 3 of a monthly plan and you still have the remaining 27 days. At the end of that period the subscription ends, no further charge is taken, and the workspace becomes read-only until you resubscribe.

Cancelling does not delete your data. See section 8.

3. Our general refund position

Monthly and annual fees are charged in advance and are generally non-refundable once a billing period has started. We do not refund partial months or partial years, and we do not refund periods you simply did not use.

The exceptions are set out in sections 4 and 5, and we will always refund a charge that was taken in error — a duplicate charge, a charge after a valid cancellation, or a billing mistake on our side.

4. 14-day refund on your first subscription

We would rather you left than stayed on a plan that is not right for you. So: if this is your first paid subscription with us and you ask within 14 days of the first charge, we will refund it in full.

This applies once per customer, to the first payment only, and on the condition that the service has not been substantially used — as a guide, that means you have not run significant volumes of messaging or AI activity through the account. It does not apply to renewals, upgrades, extra account slots, or to an account suspended for breaching our Terms of Service.

Refunds go back to the original payment method through Stripe, normally within 5 to 10 business days depending on your bank.

5. Consumer cancellation rights

LeadInbox is sold for business use, so these rights will not apply to most customers. If you are buying as a consumer in the UK or EU, you have a statutory right to cancel a distance contract within 14 days.

Because LeadInbox is supplied digitally and starts as soon as you subscribe, by starting to use it you ask us to begin supply during that 14-day window and acknowledge that you lose the automatic right to cancel once the service has been fully supplied. If you cancel during the window after we have started, we may keep an amount proportionate to the service supplied up to that point. Your statutory rights are not otherwise affected.

6. Extra account slots and mid-cycle changes

Starter includes 2 connected accounts and Growth includes 5. Extra slots are $10 per month or $100 per year each.

  • Add a slot mid-cycle and Stripe charges a pro-rata amount covering only the days left in the current period. The full rate then applies from your next renewal.
  • Remove a slot and the reduction applies from your next renewal. We do not refund the unused part of a slot you have already paid for, but you keep it until the period ends.
  • Upgrade from Starter to Growth mid-cycle and you pay only the prorated difference for the rest of the period.
  • Downgrade and the lower price starts at your next renewal. Bring your connected accounts within the new plan's limit before then.
  • Switching from monthly to annual starts a new annual period, with credit applied for the unused part of the month.

7. Failed payments

If a renewal payment fails, we retry it and email you. If it stays unpaid we may suspend access until the balance is settled. You will not owe anything for a period we did not give you access to.

8. Your data after cancellation

Cancelling does not immediately erase anything. Your workspace stays available in read-only form for a reasonable period after the paid period ends so you can export contacts, conversations and pipeline records. Resubscribe within that window and everything picks up where it left off.

After that, we delete or anonymise your workspace data other than the billing and accounting records we must keep by law. You can ask us to delete everything sooner by emailing us. Disconnecting a channel revokes our access to it straight away. Full detail is in our Privacy Policy.

9. How to request a refund

Email contact@desklink.ai from the address on the account and include:

  • your account email and workspace name;
  • the date and amount of the charge, or the invoice number;
  • a sentence on why you are asking.

We reply within 3 business days and, where a refund is due, process it immediately after that. If we decline, we will tell you why.
